Coalition Coordinator

Reports to: AC4C Executive Board
Anticipated Activity: 75 FTE (average 30 hours/week
The Coalition Coordinator is the key management leader of the Iowa Alliance of Coalitions for Change (AC4C). The Coalition Coordinator is responsible for overseeing the planning and implementation of the Drug Free Communities grant.

Professional Qualifications:

  • A bachelor’s degree or equivalent experience
  • Iowa Certified Prevention Specialist (CPS) certification required
  • Aptitude and passion for community-based prevention and healthy community design
  • Demonstrated transparent and high integrity leadership
  • Solid, hands-on, budget management skills, including budget preparation, analysis,decision-making and reporting
  • Knowledge of fundraising strategies and donor relations unique to nonprofit sector
  • Skills to collaborate with and motivate coalition members and other volunteers
  • Strong program development and community organization skills
  • Experience with group facilitation and processing
  • Demonstrated experience with staff supervision and oversight

General Description of Duties and Responsibilities:

  • Manage external communications output
  • Work with media outlets to publish timely company information, such as press releases,brochures, and other materials
  • Ensure communication strategy is consistent and reflects the organization’s strategic vision
  • Actively track and manage the organization’s social media profiles to engage with followers and attract new audiences.
  • Research, maintain, and cultivate relationships with local and regional media outlets and position AC4C as “go-to” experts for stories related to substance abuse prevention efforts
  • Manage relationships with media outlets, coalition members, and state partners
  • Produce and publish mass communications with email blasts and marketing campaigns
  • Refine core messaging to ensure organizational consistency in all aspects of communication including development, organizing and education
  • Document presence of AC4C at events, conferences, and speaking engagements
  • Advocate on behalf of the coalition with external stakeholders and the media across all communications channels and vehicles
  • Collaborate with Marketing Work Group to develop the advertising, marketing and promotion plans
    Edit and revise content as necessary
  • Publish the monthly e-newsletter – ROUNDTABLE
  • Ensure the proper reporting to the Evaluator
  • Attend Action Team and Work Group meetings and assist with development and planning as needed
  • Grant writing and fundraising to sustain Coalition work
  • Assist in providing orientation for new Coalition members

Professional Development

  • Attend and participate in appropriate local, regional, and state meetings and network with other service providers determined necessary by the Executive Board
  • Attend regional, state, or national continuing education conferences as determined necessary by the Executive Board
  • Apply for and maintain any certification requirements as determined by the Executive Board

Youth Coordinator

Reports to: AC4C Executive Board
Anticipated Activity: .25 FTE (average 10 hours/week)
The Youth Coordinator plans, organizes, promotes, monitors and coordinates youth development programs, activities and grants, and other youth development programs as assigned; establishes and maintains effective collaborative relationships.

Professional Qualifications:

  • A bachelor’s degree or equivalent experience
  • Iowa Certified Prevention Specialist (CPS) certification preferred
  • Aptitude and passion for community-based prevention and healthy community design
  • Extensive experience in youth development, prevention education, or related programs sponsored by education, government agencies, or community-based organizations
  • Experience in the development, implementation and evaluation of successful programs
  • Must be detail oriented and have documentation, communication and interpersonal abilities
  • Must be able to efficiently operate technology including computers, Microsoft Office, projectors,and office equipment
  • Ability to document activities and report to supervisor
  • Ability to speak effectively before groups of youth

General Description of Duties and Responsibilities:

  • Assist in information dissemination, coalition promotion, member recruitment and community outreach
  • Proactively responds to support AC4C’s mission and staff to conduct presentations, attend community events, attend meetings and other miscellaneous duties
  • Works and meets with Coalition Coordinator, informs Executive Board of action plan status and problems, reviews and measure goals, and receives instruction on further program development and problem solving
  • Assist in providing orientation for new youth Coalition members
  • Document all program activities as required, and submit program reports and records according to AC4C’s established deadlines
  • Attend training, seminars, workshops, and classes to achieve required credentials and continuing education as required by the agency and grantors
  • Responsible for documentation of prevention activities, evaluation and program development
  • Assist in creation of DFC Action Plan and implementation
  • Assist youth in building community awareness and cooperation
  • Establish AC4C Youth Advisory Group, host a minimum of 6 meetings per year, and recruit new members as appropriate

Marketing Work Group Chair

Responsible to: Coalition CoordinatorThe role of the Marketing Work Group is to assist in developing and disseminating the AC4C’s brand and image, ensuring its programs are consistent with clearly defined objectives to enhance the reputation and recognition of AC4C’s programs, services, and community partners.

General Description of Duties and Responsibilities:

  • Content Creation: Assist AC4C Staff with the creation, scheduling, and distribution of content that provides value to target audiences across print, digital, social media, websites, email, and other communication channels

  • Develop Work Group agenda and distribute to members no less than one business day prior to meeting
  • Serve as moderator of monthly Work Group meetings and designate a recorder for eachmeeting. Ensure minutes are posted in the designated folder on box.com
  • Coordinate activities of Marketing Work Group to address DFC Action Plan, contacting members about responsibilities and necessary actions when needed

Capacity Work Group Chair

Responsible to: Coalition Coordinator

The Capacity Work Group assists in recruiting volunteers for all AC4C projects and committees,ensuring they bring a required level of skills and experience, and fosters an environment that promotes self-motivation and ambition to act on their own initiative as well as embracing team-concept.

General Description of Duties and Responsibilities:

  • Recruitment – recruits members for all teams, projects and activities of the Coalition
  • Orientation – assist Coordinator to provide orientation and Coalition overview for new members
  • Ongoing contact, support, and encouragement– provides regular contact with members and provides ongoing opportunities for involvement
  • Maintain/expand current membership of the Capacity Work Group
  • Develop Work Group agenda and distribute to members no less than one business day prior to meeting
  • Serve as moderator of monthly Work Group meetings and designate a recorder for each meeting. Ensure minutes are posted in the designated folder on box.com
  • Coordinate activities of Capacity Work Group to address DFC Action Plan, contacting members about responsibilities and necessary actions when needed

Capacity Work Group Vice Chair

Policy Work Group Chair

Responsible to: Coalition Coordinator

The Policy Work Group helps develop and implement AC4C’s advocacy strategies at the state andlocal level. This Work Group works to achieve demonstrated improvements in substance use ofIowans by developing and implementing messaging, policy and practice strategies.

General Description of Duties and Responsibilities:

  • Preside over Policy Work Group meetings in the absence of the Policy Work Group Chair
  • Assume the role of Chair in the event of the Policy Work Group Chair’s inability to complete a responsibility or term
  • Assist with the development and execution of advocacy strategies
  • Provide research, analysis, and draft responses to a range of policy issues impacting AC4Cmembers
  • Track, monitor and analyze state and federal legislation
  • Assist the Marketing Work Group in developing briefing materials and reports (oral and written)including legislative reports, one-page handouts, and talking points
  • Draft comments, white papers and other documents in response to key issues
  • Attend hearings, Work Groups, and other state partner meetings as needed
  • Collaborate with member coalitions on grassroots advocacy efforts and stakeholder outreach
  • Coordinate legislative visits and educational meetings for legislators
  • Consult with Policy Work Group Chair as needed
  • Perform other duties as directed by the Policy Work Group Chair

Time Commitment:

AC4C Action Team Co-Chairs

Responsible to: Coalition Coordinator

Includes Alcohol Action Team, Marijuana Action Team, Nicotine Action Team, and Other Substances Action Team Chairs

Responsible for reviewing strategies of a specific priority area, making recommendations regarding implementation of activities, strategies and programs to improve outcomes. Each Action Team shall have two co-chairs, who have experience and knowledge of the topic area and shall serve as community champions.

General Description of Duties and Responsibilities:

  • Maintain/expand current membership of the Action Team
  • Serve as liaison for the Action Team to Work Group and AC4C Executive Board
  • Develop Action Team agenda and distribute to members no less than one business day prior to meeting
  • Serve as moderator of monthly Action Team meetings and designate a recorder for each meeting. Ensure minutes are posted in the designated folder on box.com
  • Develop a work plan and timeline based on the DFC Action Plan to accomplish the goals and objectives of the committee
  • Co-chairs shall facilitate project team meetings and provide updates and feedback to the Executive Board as well as the Coalition

Time Commitment:

  • approximately 2 hours per month
  • attend Action Team meetings
  • One year term

Executive Board President

The President shall be the principal executive officer of AC4C and shall in general supervise and control all of the business and affairs of the Coalition.

General Description of Duties and Responsibilities:

  • Assists in development and approves Executive Board meeting agendas
  • Participates in the recruitment of new Coalition and Executive Board members
  • Develops and maintains positive community relations with Coalition members, community prevention and treatment services providers, member communities, the Governor’s Office and other local, state and federal agencies
  • Coordinates Coalition support for local, state, or federal grants
  • Presides over Executive Board meetings
  • Designate a recorder for each Executive Board meeting if Secretary is unavailable
  • Ensure adherence to AC4C Bylaws in meetings and Coalition activities
  • Contact and coordinate with members about Executive Board member responsibilities
  • Represent AC4C across the state
  • Consult with Coalition Director/Coordinator as needed
  • On behalf of the Executive Board, sign and execute alone in the name of AC4C any deeds,mortgages, bonds, contracts, or other instruments which the Executive Board has authorized to be executed, either generally or specifically, except in cases where the signing and execution has been expressly delegated by the Executive Board or by these bylaws or by statute to some other officer or agent of the Corporation
  • Work with members and staff fairly, sensitively and confidentially
  • Promote collaboration, conflict resolution, and decision making
  • Be open to diverse opinions and points of view

  • 2-year term to be served alternatively with Vice President

Executive Board Vice President

Responsible to: AC4C Executive Board and AC4C

In the absence of the President, the Vice-President shall perform the duties of the President, and when so acting, shall have all the powers of and be subject to any restrictions upon the President.

General Description of Duties and Responsibilities:

  • Preside over AC4C Executive Board meetings in the absence of the Board President
  • Assume the role of Chair in the event of the Executive Board President’s inability to complete a responsibility or term
  • Ensure adherence to AC4C Bylaws in meetings and Coalition activities
  • Consult with Executive Board President as needed
  • Other duties as assigned by the Executive Board President

Executive Board Secretary

Executive Board SecretaryResponsible to: AC4C Executive Board and AC4C

The Secretary provides administrative and clerical support to the Executive Board, through the timely and accurate collection and sharing of information directly related to its activities. The Secretary ensures that the Executive Board is well informed and that its activities are well documented for the use of all AC4C and Executive Board members

General Description of Duties and Responsibilities:

  • Creates and maintains copies of the organization’s bylaws and the Executive Board’s policy statements
  • Maintains list of Officers and Executive Board Members and term expirations
  • Records Executive Board attendance, making sure there is a quorum
  • Creates and maintains accurate Minutes of meetings
  • Records all motions and decisions of meetings and records all corrections to Minutes
  • Distributes copies of Executive Board Minutes and actions to Executive Board Members promptly after meetings.
  • Signs official documents of the organization as required
  • In the absence of the President and Vice-President, chairs Executive Board meetings until the election of an alternate President.
  • Consult with Executive Board President as needed
  • Other duties as assigned by the Executive Board President

Executive Board Treasurer

Responsible to: AC4C Executive Board and AC4C

The Executive Board Treasurer will ensure AC4C’s ability to discharge its fiduciary duties.

General Description of Duties and Responsibilities:

  • Serve as financial officer of the organization.
  • Work with the Coalition Coordinator and Executive Board President to ensure that accurate financial records are maintained and that appropriate financial reports are made available to the Executive Board on a timely basis.
  • Assist the Coalition Coordinator in preparing the annual budget and presenting the budget to the Executive Board for approval.
  • Ensure compliance with all relevant legal and regulatory requirements and ethical standards.
  • Ensure that the organization’s assets are protected, expended and invested according to Executive Board policies and procedures.
  • Monitor adherence to financial policies and, when applicable, recommend financial policies to the Executive Board for approval.
  • Payment of bills from AC4C accounts as well as maintenance and oversight of all AC4Caccounts.
  • Keep full and accurate account of receipts and disbursements in financial documents belonging to AC4C
  • Receive and give receipts for moneys due and payable to AC4C from any source whatsoever,and deposit or cause to be deposited all such moneys in the name of AC4C in the banks, trust companies or other depositories as established by the Executive Board
  • Make all local, state, and federal tax reports and other documentation necessary for maintaining non-profit status
  • Provide financial information for grants/other projects as needed and maintain the AC4Cannual budget.
  • Consult with Executive Board President as needed
  • Other duties as assigned by the Executive Board President

Executive Board At-Large Member

Responsible to: AC4C Executive Board and AC4C

AC4C Executive Board At-Large Members shall serve as liaisons between the AC4C membership and the Executive Board of Directors.

General Description of Duties and Responsibilities:

  • Rotate between Work Group and Action Team meetings at quarterly retreats to assist in meeting the needs of committee Co-chairs
  • Provide perspective at Executive Board meetings on issues related to individual Action Teams and Work Groups and the membership at large
  • Provides direction, guidance, and leadership to activities of the organization
  • Monitor action plans for progress and completeness

AC4C Member

Members of the Alliance of Coalitions for Change (AC4C) will develop and implement plans toaccomplish our mission “Unifying Iowans to reduce youth​​substance use on a state and communitylevel.” AC4C will identify, promote, and coordinate evidence-based strategies that encouragehealthy lifestyles for all Iowa youth, their families, and our communities

General Description of Duties and Responsibilities:

  • Attend Coalition meetings
  • Serve as a member of a subgroup and/or Action Team
  • Participate in the identification, selection, and promotion of innovative healthy lifestyle activities
    Help assess community needs and identify existing resources
  • Develop plans of action to carry out the mission
  • Strive to coordinate programs and resources to maximize impact
  • Develop a mechanism for evaluating and monitoring the strategies

Time Commitment:

  • Four quarterly 2-day work retreat meetings per year and Work Group /Action Team meetings as time allows
